Powerful, flexible accounting at a small business price

Accounting application Zoho Books meets the lion's share of small business needs, and it's especially well-suited to businesses that already use other parts of Zoho's suite of low-cost cloud-based apps for businesses . Its depth and flexibility, customizable reports, and full-featured mobile apps make it an excellent option for small and medium businesses, though it could be too complex for some. QuickBooks Online and FreshBooks are the apps we recommend most to small business owners. They're our Editors' Choice winners because they are slightly better for companies with varying needs and preferences, though Zoho Books is excellent for larger small businesses.

How Much Does Zoho Books Cost?

Zoho Books Professional, the version I reviewed, is less expensive ($50 per month paid monthly; includes five users) than both QuickBooks Online Plus ($90 per month; includes five users) and FreshBooks Premium ($55 per month; $11 per additional team member). The least expensive accounting applications I test are Xero ($15–$78 per month) and Patriot Software Accounting ($20–$30 per month).

Zoho Books comes in six versions that offer varying levels of power and flexibility. A free 14-day trial is available for all plans. The Free Plan (one user plus one accountant) is robust for a no-fee accounting solution, though you can’t connect to your banks to import transactions. The first paid tier of service is the Standard Plan ($20 per month; three users), followed by the Professional Plan ($50 per month; five users). The Premium Plan is $70 per month for 10 users. Two tiers come close to competing with the midrange market. Elite is $150 per month (10 users), and Ultimate is $275 per month (15 users). Zoho offers a discount for paying annually instead of monthly.

Zoho has its own payroll module, but it only covers 23 states as of this writing, for $19 per month plus $3 per employee per month (or $190 plus $30 per employee annually). Unlike most competitors, it doesn’t automatically file your payroll taxes, though it calculates them. Support for more US states is in the works. The application does integrate with SurePayroll , though, a full-featured, affordable payroll solution.

Setting Up Zoho Books

Most small business accounting applications have a similar setup process. They ask you for basic business information and suggest some simple activities that you can try, like creating an invoice. Zoho Books is no different. It posts links to how-to videos for each feature. 

There are two pages that I wish Zoho Books would highlight more prominently. One allows you to toggle features off and on. The other lets you tinker with the app’s Settings. No other small business accounting app breaks down its functions for setup in this much detail because no other site I've seen is as flexible or rich with features.

As you're getting started, you may want to import some of your existing data. You can import contacts, item records, and sales/purchase transactions in CSV and a handful of other global formats. No other small business accounting app offers this much flexibility for transferring data. 

A dashboard is a good jumping-off point for your accounting work, though I wish it didn't sprawl so much so I could see more data at a time. Numbers for your total, current, and overdue receivables and payables are at the top, followed by several charts, including cash flow, income and expenses, and top expenses. Account balances are here, too, as is an account watchlist.

Zoho Books is an exceptionally busy, feature-packed website, which might be overwhelming for some small businesses. The toolbar divides the app’s numerous features into logical groupings, and its user interface and navigation combine to provide fast, clean operations. It lacks FreshBooks’ state-of-the-art design, though. Still, it’s intuitive to use, and there isn't much of a learning curve.

Zoho Books’ Sales Tools

Zoho Books Professional is at least as capable of handling receivables as QuickBooks Online at half the price. Customer records are incredibly detailed, and you can even create custom fields. Once you’ve entered all of a contact’s data, the page shows all that information and a lot more. There’s a timeline for all of the record’s activity and a list of related transactions. You have access to any emails you’ve exchanged with the customer and an updated statement you can send.

Invoices and other sales forms, like quotes and retainers, are exceptionally customizable and contain more than enough fields. You can choose from multiple templates and add, edit, and modify their content, including custom fields. You can access all settings right from the form itself to make modifications on the fly and make the forms recurring. Completed forms appear on their own landing pages, which link to related tools, a timeline, and even the transaction’s journal entries.

Bills and Expenses With Zoho Books

Vendor records and purchase forms (including purchase orders) are as detailed and flexible as their sales counterparts. QuickBooks Online, though, has features that Zoho Books lacks. It allows you to designate contacts as 1099 vendors and pay them without subscribing to a payroll application. It also supports online bill pay (for extra fees). 

Your purchases, as well as sales and time entries, can be attached to projects you create. Zoho Books’ project tracking is at least as good as what’s offered by QuickBooks Online and FreshBooks. You can attach billable hours as well as purchase and sales transactions and monitor each project’s profitability. You can choose from four billing methods instead of just two that you get in other apps, import tasks from other projects, and create an actual budget rather than specifying a budget total. Your billable hours can be entered as individual activities or timesheets, but you can’t track internal staff time that’s not billable to a project.

Zoho Books’ document management capabilities are good, but they incur an extra charge. You can scan documents such as bills and expense receipts and upload them to Zoho Books or have clients email them directly to your unique inbox. The tool supports 15 languages and automatically reads as many fields from the original document as it can and then enters that information on the appropriate transaction form. It's $10 per month for 50 scans. QuickBooks Online and Wave give you this functionality for free. 

Income and expense transactions that have come through your banks appear in a register for categorization and other editing.

Does Zoho Books Track Inventory?

Zoho Books offers a mixed bag when it comes to inventory tracking. It’s better than FreshBooks but not as good as QuickBooks and Xero. Its item and service record templates allow you to enter both sales and purchase information, even offering 13 units of measure, more than competitors. If you choose to have the application track inventory, you can enter your opening stock number and rate and your reorder point. 

Zoho Books tracks your inventory stock level (taking into account items to be invoiced and billed), displays a list of related transactions, and provides the item’s history. It does not, however, allow you to group multiple items as assemblies. You have to buy an add-on, Zoho Inventory (starting at $29 per month) for that.

Reports Galore

I can’t think of a question you might have about your finances that Zoho Books wouldn’t be able to answer in a report. It includes dozens of templates that you can customize, schedule, email, and export to CSV, XLS, XLSX, and Zoho Sheet. Custom reports are supported as well.

Is Zoho Books Safe to Use?

Zoho Corporation employs numerous types of security to keep your data safe. For example, employees undergo background checks and sign a confidentiality agreement. There are dedicated security and privacy teams on board, as well as compliance staff. Physical security is ensured at the workplace and data centers, and all entry and exit movements are monitored. Network security and monitoring techniques are designed to provide multiple layers of protection and defense.

Zoho Books Mobile

The mobile app (Android and iOS) for Zoho Books is as excellent as the browser-based version. Though, as with QuickBooks Online, many of the data pages are abbreviated. Open a customer record, for example, and you instantly see contact information and the receivables balance. You can call, email, or message the contact from this page, as well as create new transactions, accept payments, and more. Related transactions and history are also there.

Other tools provide good subsets of the website’s transaction capabilities, like the apps’ invoices, bill status, time tracking, reports, and projects. In fact, you could probably run your business for a while from your phone if necessary—the mobile version is that comprehensive.

Is Zoho Books the Accounting App for You?

For small business accounting software, we have two Editors' Choice winners. One is FreshBooks for its design excellence, team tools, and unique blend of financial features. The other is QuickBooks Online because its exceptional blend of features and usability simplifies and accelerates your accounting tasks. If you run a business that has outgrown the other applications we've reviewed, consider one of Zoho Books’ upper-tier options, which brush up against the midrange accounting market (rather than being specific to small businesses). Zoho Books' overall flexibility and feature set are impressive, but because you get the same user interface and navigation no matter which tier of service you choose, the entry-level options might be intimidating to smaller businesses.

Can't Believe We Didn't Choose Zoho Sooner!

My small business was recently working with another popular social scheduler app, but when we received an alert that they were raising their already high pricing for our basic plan YET AGAIN, we decided enough was enough. We tried Zoho using a free trial and absolutely fell in love with it. We especially really love the analytics and metrics Zoho provides, plus their really handy scheduling options. The Media Library functionality is also incredibly helpful, and a few of our other favorite features are the hashtag groups you can build and save, plus the ability to choose your own thumbnails for your posts, even the ability to upload your own if need be. Additionally, we're also very impressed with the number of social channels you're able to connect with Zoho, even on their lowest, base plan...and the pricing is incomparable compared to the aforementioned scheduler we've been using up until now. In shirt, we're incredibly pleased with our switch to Zoho, and we'll definitely be staying with them for a long, long time.

Great email service!

Moved three mailboxes to them from providers who couldn't effectively filter inbound spam - and Zoho solved all my problems, with just a few false positives / negatives. Webmail is really advanced and usable, IMAP is fast but beware they seem to be throttling imapsync so getting your email in and more importantly out if you want to switch providers is gonna take a long while (about 0.1 messages per second, do your math). Support is "desaparecidos" (they take days to respond and when they do it's barely useful, but the positive is you won't need them much because things just work. for now.).

Zoho Social is one of the best social…

Zoho Social is one of the best social media management tools for small and mid-sized businesses. The pros, reasonable fees for the service, great reach across multiple platforms, easy brand setup and team onboarding. The other great feature is the reporting, which allows you to download reports to share with your team or clients in a snap. I encourage my clients to use this to avoid some of the high fees charged by other companies for the social posting technology, especially if they don't have a need for some of the other tools or integrations the competitors offer.

Proving you get what you pay for - and not in a good way

You cannot beat the price, but this company is out to prove that you get what you pay for. Customer service is an absolute joke - rude, unhelpful, and quite frankly, so off putting I immediately went to cancel my account, which their system doesn’t seem to allow? So not only is their service horrible, but apparently they also scam their customers.

Still the best

I've used multiple SoMe management suites over the years but somehow I've wound up back with Zoho because they offer the best features with the most reasonable pricing. Can't trade that for anything!

Zoho Books review: Everything but the kitchen sink

A relatively low-cost accounting suite with a huge range of features at all tiers, but lacking integrated payroll.

IT Pro Verdict

Although it can't handle your payroll, Zoho Books is very capable at all price tiers and has an outstanding mobile app, making it a cost-effective choice for small businesses with worldwide customers. It's not easy to use as QuickBooks, but if you don't mind handling your payroll elsewhere, it's a great budget buy.

Comparatively inexpensive; Feature-packed

Indian Software-as-a-Service giant Zoho is among the cloud-based accounting software firms working with HMRC to ensure that VAT registered companies are all set to use the new Making Tax Digital reporting process from the beginning of April 2019.

Zoho has European data centres in Dublin and the Netherlands, as well as the US, so doesn't have to rely on the sometimes controversial EU-US Privacy Shield data protection framework. Zoho's European data centres are covered by the UK's decision to regard all EEA member states as meeting adequate data protection requirements, even in the case of a no-deal Brexit.

Priced in dollars, no matter where you are in the world, Zoho Books is a very competitive option across its subscription tiers. There are three, scaled to fit micro, small and medium businesses respectively.

Priced at $9 (6.83), Zoho Books Basic supports one user, with an extra account for inviting your accountant, with up to 50 contacts and five automated workflows. Workflows allow you to automate some features, for example sending email instructions to the relevant shipping and packing department when a sale is made, automatically applying discounts to large orders, or webhooks to send text messages to clients or suppliers when bills are paid.

It has a standard but useful set of core features: bank reconciliation, custom invoices, expense tracking, projects and timesheets which are rare to find in entry-level accounting suites - plus recurring transactions and sale approval so staff sales can be double-checked if needed.

For $19 (14.42), you get Zoho Books Standard, with support for 500 contacts, two users plus your accountant, and 10 automated workflows or modules. Extra features include the ability to log bills, issue vendor credits, use reporting tags, require purchase approval and receive SMS notifications.

The top Professional tier, which costs $29 (22.02), has unlimited contacts,10 user seats, purchase and sales orders, an inventory for basic stock control and support for a custom domain name.

Unusually, all three support multiple currencies. You can also connect a variety of other Zoho cloud-based business tools for project management, analytics, CRM and more.

Zoho Books review: Setup and configuration

Once you've signed up for Zoho Books, you're prompted to give your client portal a unique name, set your opening balances, edit the default Chart of Accounts or import your own, configure direct feed links to your bank accounts and invite staff and your accountant to access your books. This simple to-do list is clearly described and helps you transition your accounts into Zoho with a minimum of fuss.

Zoho has a particularly detailed set of fields for opening balances, which allow you to track specific expenses, assets, liabilities and equity, as well as the overall status of your accounts receivable and payable.

If you have a lot of invoices due when you set your starting balances, Zoho warns you that your total debits and credits don't balance this isn't actually a problem for the software, although the exclamation-mark emblazoned alert pop-up makes it look like one. It is important to make sure that your opening balances are correct, though, and Zoho helpfully takes you through a confirmation screen to ensure this, while providing information on how to correct any errors in future.

Similarly, we appreciated being prompted to check over Zoho's default Chart of Accounts. It's simple by design, with just a few standard categories common to every business, but it's easy to add more for example, you may wish to create separate entries for the sale of goods and sale of services.

The final suggestions direct you to set up a bank feed and give others access to your accounts if they need it, and there's where the Getting Started section leaves you to it. Users new to cloud-based accounting software would probably welcome a bit more hand-holding when it comes to configuring features like invoices, bills and time tracking for projects.

Zoho Books review: Banking

Like most cloud-based accounting suites, Zoho Books can link directly to your online banking service to import transactions. This worked smoothly, although to complete some bank connection we had to search for our bank, sign in, and then search again to be taken to a screen that allowed us to choose which of our accounts we wished to connect.

A wide range of British high street, business and international banks are supported, as well as PayPal. However, support for recent digital challenger banks is very thin on the ground, with no sign of TransferWise, Shine, ING or Revolut, among others.

Fortunately, it's very easy to add banks and upload statements manually, whether that's because your bank isn't featured or because you simply prefer not to give your accounting suite read access to your bank accounts.

Just select Add bank or credit card from the Banking screen, then hit the big blue Enter your account manually' button. You'll be prompted to give the account a name, select its currency and details such as account number or IBAN. You're then prompted to upload a statement in CSV, TSV, OFX, QIF or CAMT.053 format.

With that done, you can reconcile your transactions, assigning them to clients, suppliers and expenses and matching them against bills and invoices once you've created them. Small and micro business owners, in particular, will appreciate clearly defined categories for drawings, which not all accounting suits make so visible.

Zoho Books review: Invoicing, customers and bills

Although it's not highlighted in the getting started guide to the extent that we'd expect, it's hard to fault Zoho's invoicing workflow. When you create an invoice for the first time, you're asked to configure how you handle discounts. When you set an invoice number, a pop-up immediately asks you how you'd like to handle future invoice numbering for example by continuing from a specific number.

And when you enter a customer name, a window pops up so you can add them as a contact, including details on the currency and payment terms for the specific customer. There are fields for their social media details, and you can even enable an online portal that customers can use to access and pay their invoices. A wide range of online payment providers, including PayPal, Stripe and Worldpay, are supported.

You can save invoices as drafts, although they'll have to have at least one named item in them before you can do so. Quick invoice creation, along with fast add options for customers, vendors, bills, expenses, inventory, owner drawings and more, is instantly available via a small blue plus button at the top of the screen.

Bills and expenses work in much the same way, complete with support for attached images of receipts, and there are sample CSV and XLS forms to help you bulk upload invoice and bill data, which is helpful if you're moving across from another accounting suite.

Zoho Books review: VAT returns and other tax support

Zoho Books fully supports HMRC's electronic Making Tax Digital system, and also provides tools for tracking VAT MOSS for European sales.

For MTD, you're taken through the process of connecting your HMRC account, after which a VAT Filing module will be available in the main left-hand navigation bar. From there, you'll be able to generate VAT returns at the click of a button, check them over, make any necessary adjustments and submit them to HMRC.

Unfortunately, payroll support and all related tax and deduction handling is conspicuous by its absence. Zoho Payroll isn't currently available outside the US and while the company is looking into integration with third-party payroll services, it can't specify when this feature will be available. For now, you'll have to use another service to handle payslips, PAYE and pensions and simply log those outgoings in Zoho Books.

Zoho Books review: Inventory, time tracking and integrations

Zoho Books is packed with features and also integrates with other Zoho cloud-based business tools, such as Expense, Subscriptions, Inventory and Checkout and CRM, plus document autoscanning that can automatically transcribe 50 items of paperwork a month. However, these cost extra.

But plenty more is built into the standard subscription and ready to go. For Professional subscribers, the Zoho Books Items tool can handle complex, illustrated price lists and inventory tracking, providing simple and effective stock management for sales-oriented businesses. Using its Time Tracking tools, available at all tiers, you can bill by staff, project or task hours and add multiple Zoho Books users to projects in order to track their time.

This is made easy by the Zoho Books mobile apps which, as well as real-time and post-dated time logging for users, provide handy shortcuts for adding expenses, invoices and contacts on the move, and a near-complete replica of the desktop browser features, from banking and reconciliation to reports, with the exception of VAT filing.

Zoho Books review: Interface

Zoho Books looks nice, is easy to read and presents all its information clearly, but it lacks the generous guidance and help of many other online accounting suites. We found that it took a little longer to learn our way around than in rival products from Xero, Sage and Quickbooks.

Its sidebar behaviour is also sometimes inconsistent. Click on Dashboard, Contacts, Banking or Reports, and a new screen opens with options or data to view. However, the Items, Sales, Purchases, Time Tracking and Accountant tabs all open up further sub-menus rather than an overview screen.

Fortunately, once you've learned the ropes, everything becomes second nature, even though we'd have appreciated an integrated help interface rather than being redirected to a separate support portal to search for answers.

Zoho Books review: Verdict

Zoho Books provides an excellent set of tools for managing your business's incomings, outgoings and VAT. Its top tier is great for sales-oriented businesses that need inventory tracking. Small businesses with international clients will be pleased to note that multicurrency support, time tracking and integrated VAT returns are supported at all tiers. The only major downside is that it doesn't have any kind of payroll facility.

However, a wealth of features at even lower subscription tiers, along with the current strength of the pound relative to Zoho's US dollar pricing, makes this a very worthwhile choice for a small business on a budget, particularly if you already use an external payroll service.

Zoho Books is just one small part of a much greater business concern based in India that offers all manner of software for anyone and everyone. With its clean and simple cloud-based interface Zoho Books makes a great cost-effective accounting option if you’re a freelancer , sole trader or someone running a small business . 

The benefit with Zoho Books is that it’s also quite scalable, so therefore offers beefier versions for those with larger business concerns, or anyone intent on expanding their operations. While the desktop route is a solid one Zoho Books also has an impressive app presence, making it a good mobile bet too, especially during the coronavirus crisis.

It's a tax and accountancy software package that sits alongside the likes of competitors FreshBooks , QuickBooks , Xero , Sage Business Cloud Accounting , Kashoo and Kashflow .

Zoho Books has, it explains, a pricing plan for everyone and the service has actually become a little cheaper than it used to be for each of the current packages. There’s also a free 14-day trial available. 

Basic now costs $9/£6 per organization, per month. For that you get up to 50 contacts (as in the maximum amount of customers or vendors you can create transactions for), 2 users (as in yourself and your accountant) and 5 automated workflows. 

The most popular package is Standard , which is $19/£12 per month and comes with up to 500 contacts, 3 users and 10 automated workflows. Professional , meanwhile, is a full bells-and-whistles experience that offers 500 contacts, 10 users and 10 automated workflows for $29/£18. 

Incidentally, sign up for a yearly package and you get 2 months off. Zoho does offer additional add-ons, more about which you can glean from its website.

Zoho Books might be an affordable cloud-based accountancy solution, but that doesn't make it any less feature-laden. In fact, taking a tour of the package we found that it has a pretty formidable arsenal of tools and options. That includes invoicing estimating, a client portal, the ability to track expenses, carry out billing, track your banking movements, manage projects and keep an eye on your levels of inventory. 

Sales orders, purchase orders, VAT and online payments are all in there too, making Zoho Books fully featured by anyone's standards. Adding additional value is a solid reporting area, the ability to automate your workflow and, finally, enjoy the convenience of having all your documents stored in one place. 

Zoho Books also comes in app form for iOS, Android and Windows. Similarly, you can configure online payments for the likes of Stripe, PayPal, Square and more.

Performance

During our time using Zoho Books we found the software-as-a-service solution excellent. There are a lot of tabs, menus and other options available and, with a decent internet connection, we could zip around the site without any issues whatsoever. Connecting to financial institutions, which you’ll want to do to bulk up the appeal of your accountancy package, is fast and efficient. 

There’s also the capacity for using any one of many Zoho add-ons to increase the potential of your package. These can be found via the Integrations menu. Performance is further boosted if you choose to dip into the Automation area of the interface, which Zoho Books provides to streamline workflow more efficiently. It’s very worthy of inspection. 

In addition, items called Web Tabs add extra usability within the interface if you want to create and use them to access frequently called-upon features and functions.

Ease of use

Setting up Zoho Books could not be simpler. As with all cloud-based services you’ll need to create an account, pick a password and then work your way through the steps. Input your organization’s details, opt in or out of VAT and then pick down through the features checklist. These can be enabled either on or off depending on what suits your needs. 

Usefully, Invoices, Credit Notes, Expenses, Bills, Recurring Invoices and more are available by default in Zoho Books. Press the ‘Get Started’ button and you’ll be read to go. Once you’re inside the dashboard area everything is very self-explanatory, with core menus down the left-hand side and more along the top. Another bonus with Zoho Books is the extensive list of available templates for creating everything from invoices through to customer statements and all points in-between.

Zoho Books comes complete with its own free support infrastructure, which arrives via numerous avenues. There’s 24-hour unlimited support 5 days a week and this can be accessed via email, or by using the built-in live chat options. Failing that, Zoho Books issues can be tackled over the phone via a toll free hotline. 

We’re also impressed with the beefy selection of supporting options that can be found via the website. There’s help documentation, FAQs, business guides and forums too, which all add extra weight to the overall support structure.

Final verdict

Zoho Books is a fine pay-as-you-go cloud-based accounting option that provides you with many if not all of the tools you’ll need to keep your business accounts in good shape. While the cloud-based desktop route is a great one to take we’re also really impressed with the level of detail applied to Zoho Books range of apps. These have been nicely put together and deliver everything you need to keep tabs on your accounts on the move. 

We also like the way that Zoho seems more than amenable to helping you scale your accounting package too, with larger users being encouraged to contact the company in order to get a solution more accurately tailored to their needs. However, as it stands in any of the more off-the-shelf guises Zoho Books still has plenty to commend.

New users can try out a 14-day free trial of Zoho Books' Premium plan before deciding whether or not to subscribe. To create an account, you’ll need to share your business location, company name and email address. From there you can connect your bank accounts to the software, customize invoices and set up a client portal where you can communicate with customers and ask them for feedback.

After you finish setting up your organization profile, it’s worth getting familiar with the dashboard, which includes overviews of the following information:

Rich feature set

Despite the fact that Zoho Books has fewer reports than some of its competitors, the software’s invoicing capabilities, inventory management features and mobile app compete with those of QuickBooks Online .

You can add your business’s logo to invoices, customize the font, convert estimates and automatically send payment reminders to clients. The product surpasses basic inventory count capabilities with low stock alerts, reorder points and a free barcode generator. Advanced inventory control, which comes with the Elite plan, gives you access to serial number tracking and Shopify store integrations, too. The mobile app lets you scan receipts, view basic reports, send invoices and track mileage.

Similar to QuickBooks Online and Xero , Zoho Books’ paid plans also include reporting tags that allow you to track transactions by location or department.

In addition to its free plan for businesses with annual revenue below $50,000, Zoho Books has five paid plans that fall anywhere between $20 per month and $275 per month. Though the free plan does not track sales tax or enable recurring expenses, it does include customizable invoicing, reconciliation tools and bank rules.

Customer support

Zoho Books stands out for offering 24/5 phone and live chat support to users subscribing to paid plans. While some free products, like Wave Accounting , limit users to a self-service help center, Zoho Books’ free plan does come with email support.

Limited third-party integrations

Zoho Books has significantly fewer third-party integrations than competitors like QuickBooks and Xero, making the product a better choice for business owners that already use in-house Zoho apps. Before subscribing to any accounting software, make sure it integrates directly with your payroll and POS software at the very least.

Lower user limits than competitors

Whereas products like Xero and Wave accommodate an unlimited number of users, Zoho Books’ most expensive Ultimate plan caps users at 15. For comparison, QuickBooks Online also caps the number of users you can have. However, its top tier plan allows for 25 collaborators. You can add additional users to Zoho Books for $3 per person per month.

The bottom line: Zoho Books is an affordable accounting solution for freelancers and small-business owners who want easy software automation and a beautiful, user-friendly interface. For $15 a month (or $20 if you pay month to month), Zoho's accounting solution, Zoho Books, helps you track business expenses, send invoices, and accept online payments. It also automates as many of those tasks as possible, which means less time entering data and more time steering your business towards success.

However, while Zoho Books syncs nicely with the full Zoho suite of products, it doesn't have as many third-party integrations as competitors like Xero and QuickBooks Online . Most importantly, it doesn't have any easy integrations with payroll software. If you have employees and want to cut out manual data entry between your accounting and payroll programs, Zoho Books probably shouldn't be your first choice.

Like many accounting software providers, Zoho Books offers the occasional holiday sale. Check the site during the end of the year and again at the end of tax season in April. You'll also save quite a bit of cash if pay annually rather than month to month. If you  can , we strongly recommend signing up for an annual price rather than paying on a monthly basis.

If you're searching for accounting software that's user-friendly, full of smart features, and scales with your business, Quickbooks is a great option.

If you want to spend as little time as possible keeping your books, Zoho's accounting features make it a great fit—as long as you don't have many employees. Why? Because Zoho Books doesn't have an easy payroll solution. Other popular accounting software providers either offer their own payroll product or sync with payroll providers like Gusto. Zoho doesn't.

Practically speaking, Zoho's lack of payroll syncing means you'll use separate payroll software to calculate employees' wages. Then you'll re-enter that same information in your Zoho Books chart of accounts to ensure your business finances are accurate.

If this sounds like a hassle, well, that's because it is. As a result, we can't really recommend Zoho Books to companies with more than a handful of employees. But if you work for yourself, employ two or three other people, and don't mind re-entering payroll information (or paying an accountant to do it for you), Zoho's automation, price, and ease of use make it a great choice.

Zoho Books' free plan is available to any business that makes less than $50,000 in annual revenue. The plan comes with a few limitations—for instance, you're limited to sending 1,000 invoices a year. Only one user can use the software (though you can share access with an accountant). 

In other words, the free plan is perfect for freelancers, solopreneurs, and other sole proprietors who don't rely on anyone else to crunch the numbers. Zoho Books also has an excellent client portal where you can convert estimates and quotes to invoices, collect payments, and collaborate with your clients.

The free plan also includes a good amount of automation that many other providers leave off. You can send automatic recurring invoices, automate payment reminders for customers, and automatically import bank transaction information. 

Zoho’s Standard plan, starting at $15 a month ($20 if billed monthly instead of annually), includes three users and lets you send up to 5,000 invoices a year. On top of the basic accounting features you should expect with any accounting provider (expense tracking, bank reconciliation, and a solid mobile app), you get these Zoho perks:

  • A client portal for easy collaboration, invoicing, and online payment acceptance
  • Mileage tracking (ideal for self-employed freelancers)
  • 1099 contractor management
  • Recurring invoices, expenses, and payment reminders
  • Sales tax tracking

Additionally, all paid Zoho plans, including Standard, offer customer support via chat, email, and phone. (In contrast, the free plan includes email support only.) 

The Standard plan does miss a few key features that businesses with inventory require, including sales orders and purchase orders. It doesn’t include built-in time tracking or billing. Most notably, it doesn’t include workflow automation: you’ll need the Professional plan to start capitalizing on workflows.

Zoho’s accounting Workflow Rules are customized, automatic system actions and alerts that help save you time on the most redundant tasks. For instance, a workflow could notify a manager when a sales rep makes a sale greater than a given amount. It could also automatically transfer that customer's file to said manager without anyone having to lift a finger. The setup is unique to your business, and Zoho's handy guides help you create the right workflows for your needs.

Professional

The Professional plan starts at $40 a month ($50 when paid month to month) and ups your yearly invoice limit to 10,000 invoices. It also adds two more users, bringing your total to 5, and adds bill payment features (up to 10,000 bills per organization per year).

Along with bill pay, Professional includes these features:

  • Sales orders and purchase orders
  • Sales and purchase approvals
  • Vendor credits
  • Multi-currency handling
  • Time tracking

And, like we said above, the Professional plan adds 10 automated workflows to your software.

The Premium plan, Zoho's priciest, costs $60 a month when billed annually or $70 if billed monthly. The plan expands your user number to 10 and limits your yearly invoices and bill payments to 25,000 each. It also adds some business website features (like a custom domain) and integration with Zoho Sign (Zoho’s digital signature app). Finally, with Premium, you get up to 200 custom, automated workflows.

Zoho Books’ key drawbacks

Zoho’s cloud-based accounting software has one major flaw that makes it hard to recommend to businesses with employees. Apart from Texas and California, Zoho doesn't offer payroll integration in the United States . With Zoho Books, you'll have to manually enter your payroll data into your accounting software every payday, which works against Zoho Books' time-saving automation in a big way. So if you manage employees, we recommend you look to a competitor like Xero or Wave instead.

And while Zoho does integrate with other Zoho products, it doesn’t integrate with many third-party apps. For instance, Zoho Books syncs with Zoho CRM for CRM integration, but you won’t find many third-party CRM providers that sync with Zoho. (On the flip side, QuickBooks does integrate with some non-accounting Zoho products, including Zoho CRM.)

A recent pricing update means that Zoho Books is no longer one of the cheapest accounting software options out there. With plans starting at $15 a month and maxing out at $70 a month, it’s now more expensive than both Xero and FreshBooks. (QuickBooks is still more expensive than all three options, however.)

And while Zoho Books’s cheapest plan includes a chart of accounts with journal entries, it doesn’t automatically generate those journal entries. Since you make a journal entry every time you debit or credit an account, we can’t recommend the Standard plan unless you record just a few transactions a week.

Additional Zoho features

Like the super-popular QuickBooks , Zoho's cloud-based accounting software is hyper intuitive—ideal for business owners new to the wide world of accounting. Zoho Books is also a touch cheaper: if you pay annually, Zoho starts at $15 a month.

Plus, extra users cost just $2.50 per user per month. That’s not quite as good as Xero’s unlimited users, but it’s certainly better than both QuickBooks (which doesn't let you add extra users) and FreshBooks (which charges $10 a month for extra users).

Zoho is already a user-friendly, highly automated platform. Its two more expensive plans take that automation to the next level by including automated workflows (or Workflow Rules). These workflows let you automate tedious, repetitive tasks , and they’re fully customizable to your business. While the cheapest plan doesn’t include any workflow automations, it does automatically update your bank feeds, allow for bulk updates, and set recurring expenses.

Finally, Zoho Books has a solid mobile accounting app that works well for both Apple and Android users. On Apple’s App Store , the app has 4.8 stars out of 5. The app is more popular among Android users, though: on Google Play , it averages a rating of 4.5 stars from more than 7,000 users. No matter what type of smartphone or tablet you use, though, the Zoho Books app lets you send invoices and track your business’s finances on the go.

More Zoho products

Zoho Books is a standalone accounting software solution, but Zoho offers an entire suite of products that integrate with each other and can manage most aspects of your business. For instance, there’s Zoho Projects for project management, Zoho Inventory for inventory management, Zoho CRM for customer relationship management, and Zoho Expense for expense tracking.

Of course, some of these features are included in Zoho Books, such as expense tracking and invoicing. If you have Zoho Books, you don’t need an additional Zoho Invoice subscription. (On the other hand, if you don’t need a full suite of accounting features, Zoho Expense and Zoho Invoice both have lower starting prices than Zoho Books.)

Most Zoho products cost an additional fee, though some (like Zoho Invoice ) have free plans with limited functions. If you want all of Zoho’s apps in one package, Zoho One bundles the whole Zoho suite of products into one cohesive platform.

If you're tired of wasting time on manual data entry, we say give Zoho Books’s accounting platform a spin. The automation and user customization should help save you time, and the low per-user fee sweetens the deal. But if payroll is a must for you (not to mention your dozens of employees), we have to be honest: until Zoho develops better payroll integration, you should choose different accounting software.

The most basic version of Zoho Books is free. Provided that you are a small business that earns less than £35k of revenue per year, you can access this software free of charge. This will give you all basic features and allow accountant access, making it perfect for all businesses getting started. 

If your business is a little more advanced or have gone over the 35k revenue limit, you can choose from: 

  • Standard at £12 a month, which gives you all the free features plus recurring expenses, the ability to connect directly to your business bank account, custom views and greater customer support. 
  • Professional at £24 a month, which gives you all the standard features plus advanced bills, orders, current adjustments, stock tracking and notifications. 
  • Premium at £30 a month, which gives you all professional features plus the ability to manage separate branches, advanced automation and workflows, and custom reporting. 

Generally, most SMEs will be able to make use of the Free or Standard Zoho Books packages.

The Professional package is more suited to larger businesses that need advanced features, while the Premium package is more suited to enterprise users that have multiple branches and chains of their business around the country.

Value for Money

Having a free tier for small businesses gives Zoho books the best value for money on the market. However, if your business isn’t eligible for this package, the rest of Zoho Book’s tiers are competitively priced with other accounting software, making it a good option for any budget. 

The only caveat we’d mention as part of this Zoho Books review is that not all features will be available on the lower tiers, so you need to check carefully what you get before you sign up.

If you’re after one feature in particular, such as inventory and stock management, you may have to pay for the Professional tier, which could cost more than buying two separate pieces of software.

It has a big learning curve 

Like a lot of other accounting software, there’s a big learning curve that you need to get over before you can understand and get the best out of the platform. For Zoho Books, this is basically true, as the product wasn’t was also built to integrate and be similar to their other Zoho products. 

If you’ve never used Zoho before, this is an especially confusing system to learn. Thankfully, they do create a lot of help guides and video tutorials to help you find your way around. 

The demo account is confusing 

Zoho Books offer a demo account on their website for you to click around and explore before you sign up to help you get a better look and feel of the platform. Sadly, this demo is full of errors and with no helping hand to guide you through it, it does more to confuse than it does to educate. 

What’s more, most of the features on the demo account are actually blocked, which just serves to frustrate you before you buy.

Although this won’t happen on the paid account, it’s a frustrating factor that could put people off buying the product, so it needs to be highlighted in this Zoho Books review. 

If you want to test the platform out, we’d recommend avoiding this demo entirely and just signing up for your 14-day free trial. 

Short trial time

Zoho Books only offer users a 14-day free trial of the platform, which is lower than most over software. It might be difficult to really get a feel of the platform in just those two weeks.

However, they do have a completely free tier to small businesses with an annual review of less than £35k, so if you’re eligible for that account the trial won’t matter at all.

HubSpot’s robust free version allows up to 2,500 users. If an organization decides HubSpot’s paid tiers better align with their needs, those prices are still affordable. The free version of the CRM does offer an array of sales and marketing tools like contact management and email marketing, making it an easy CRM to implement across teams.

Review methodology

We used our inhouse scoring tool, which consists of criteria we deem most important when evaluating a CRM software. We then compared Zoho CRM against the industry standard for each criteria in that rubric. We relied on Zoho CRM’s own resources as well as some real user feedback and scores.

The criteria we used to score Zoho CRM include:

  • Cost: Weighted 25% of the total score.
  • Core features: Weighted 25% of the total score.
  • Customizations: Weighted 15% of the total score.
  • Integrations: Weighted 15% of the total score.
  • Ease of use: Weighted 10% of the total score.
  • Customer support: Weighted 10% of the total score.
