Turn your presentation into a video

When you make a recording of a presentation, all its elements (narration, animation, pointer movements, timings, and so on) are saved in the presentation itself. In essence, the presentation becomes a video that your audience can watch in PowerPoint.

So you have two options for turning your presentation into a video that's ready to view:

Save/export your presentation to a video file format (.mp4 or .wmv).

Save your presentation as a PowerPoint Show (.ppsx) file. (A PowerPoint Show appears full-screen in Slide Show, ready to view immediately.)

Save as a video file

After you've created your slides and recorded any timing and narrations and laser pointer gestures that you want to include, you're ready to create a video file.

Your browser does not support video. Install Microsoft Silverlight, Adobe Flash Player, or Internet Explorer 9.

On the File menu, select Save to ensure all your recent work has been saved in PowerPoint presentation format (.pptx).

Click File > Export > Create a Video . (Or, on the Recording tab of the ribbon, click Export to Video .)

In the first drop-down box under the Create a Video heading, select the video quality you want, which pertains to the resolution of the finished video. The higher the video quality, the larger the file size. (You may want to test them to determine which one meets your needs.)

* The Ultra HD (4K) option is only available if you're using Windows 10Ā or later.

The second drop-down box under the Create a Video heading tells whether your presentation includes narration and timings. (You may switch this setting if you like.)

If you haven't recorded timed narration, by default the value is Don't Use Recorded Timings and Narrations .

The default time spent on each slide is 5 seconds. You can change that timing in the Seconds to spend on each slide box. To the right of the box, click the up arrow to increase the duration, or click the down arrow to decrease the duration.

If you have recorded a timed narration, by default the value is Use Recorded Timings and Narrations .

Click Create Video .

In the File name box, enter a file name for the video, browse for the folder that will contain this file, and then click Save .

In the Save as type box, choose either MPEG-4 Video or Windows Media Video .

You can track the progress of the video creation by looking at the status bar at the bottom of your screen. The video creation process can take up to several hours depending on the length of the video and the complexity of the presentation.

Tip: Ā Ā Ā For a long video, you can set it up to be created overnight. That way, itā€™ll be ready for you the following morning.

To play your newly-created video, go to the designated folder location, and then double-click the file.

Save as a PowerPoint Show

When someone opens a PowerPoint Show file, it appears full-screen in Slide Show, rather than in edit mode. The viewer begins watching the presentation immediately.

On the File menu, select Save As .

Choose the folder location where you want to store your PowerPoint Show file.

In the Save as type box, choose PowerPoint Show (*.ppsx) .

The list of file types in PowerPoint includes "PowerPoint Show (.ppsx)".

Select Save .

Why turn your presentation into a video?

When you want to give a high-fidelity version of your presentation to colleagues or customers (either as an e-mail attachment, published to the web, on a CD or DVD), save it and let it play as a video.

You can save your presentation as either an MPEG-4 video file (.mp4) or a .wmv file. Both formats are widely supported and can be streamed over the internet.

Some tips to remember when recording your presentation as a video:

You can record and time voice narration and laser pointer movements in your video.

You can control the size of the multimedia file and the quality of your video.

You can include animations and transitions in your movie.

Viewers do not need to have PowerPoint installed on their computers to watch it.

If your presentation contains an embedded video, the video will play correctly without your needing to control it.

Depending on the content of your presentation, creating a video may take some time. Lengthy presentations and presentations with animations, transitions, and media content will likely take longer to create. Fortunately, you can continue to use PowerPoint while the video is being created

What parts of a presentation won't be included in a video?

The following items won't be included in a video that you create using PowerPoint:

Media inserted in previous versions of PowerPoint. To include these, you can convert or upgrade the media object.

For example, if you inserted the media using PowerPoint 2007, it will be linked and it will play in the presentation.Ā  However, when you export the file as a video, the linked media will be dropped.Ā  You can convert the file to the new file format (click the File tab, and under Info , click Convert ), or you can right-click the media object and then click to upgrade; it will embed the file and export it correctly.

QuickTime media (unless you have a third-party QuickTime codec named ffdShow installed and you have optimized for compatibility)

OLE/ActiveX controls

What to do with your video after creating it

After you create a video, you can share it with others by using the following methods:

Email your presentation to others

Save to a file share or other location

Upload it to your organization's Microsoft Stream video-sharing site , as described in the next section, "Save to a video-sharing site."

After you've created the video file, you can upload it to a video-sharing site. Microsoft Stream is an enterprise video service where people in an organization can upload, view, and share videos. Microsoft 365 business or education subscribers have access to this service from within PowerPoint for Microsoft 365.Ā 

Select File > Export , and then select Publish to Microsoft Stream .

Type a title and a description for the video.

Set other options, including whether you want others in your organization to have permission to see the video:

Select the Publish button.

The upload process can take several minutes, depending on the length of the video. A status bar at the bottom of the PowerPoint window tracks the progress, and PowerPoint shows a message when the upload is finished:

Click the message to go directly to the video playback page on Microsoft Stream.

Why convert a powerpoint to video, convert a powerpoint presentation to a video.

Microsoft PowerPoint presentations are great, but they are not as easily accessible as videos. Luckily, you can convert your presentations to videos with a built-in option. We'll show you how.

There are many reasons to turn a presentation into a video. Maybe you want to send someone a presentation but they don't have PowerPoint installed. Or, maybe you want to upload your presentation to a site that only accepts videos.

PowerPoint has a built-in option to convert presentations to videos. When you perform this conversion, all your original animations, transitions, and media items are preserved. Your resulting video also includes all recorded timings , narrations , ink strokes, and laser pointer gestures (though you can choose not to include these if you want).

To turn a PowerPoint presentation into a video, first, open your presentation with the PowerPoint app on your Windows or Mac computer.

In the top-left corner of PowerPoint, click the "File" option.

From the sidebar that opens after clicking the "File" option, select "Export."

In the "Export" menu, click "Create a Video."

To the right of the "Export" menu, you will now see a "Create a Video" section. In this section, you will define the options for your video file.

First, choose the quality for your video by clicking the "Full HD" option.

You will see multiple video quality options. Select the one that you think works the best for you. Know that the higher the quality you select, the larger the file size of your video will be.

To include the recorded timings and narrations in your video, then beneath the video quality menu, click the "Don't Use Recorded Timings and Narrations" option.

Select the "Use Recorded Timings and Narrations" option. If this option is grayed out, that's because you don't have any recorded timings or narrations in your presentation.

You will now specify how long each slide appears in the video. Click the "Seconds Spent on Each Slide" box and enter the duration in seconds. By default, this duration is set to 5 seconds.

Finally, at the bottom of the "Create a Video" section, click "Create Video" to start making your video.

Your computer's standard "save" window will open. Here, select the folder to save your video in, type a name for your video, and click "Save."

PowerPoint will take you back to the main interface. At the bottom of this interface, you will see the progress of the conversion.

When your video is made, you will find it in the specified folder on your computer.

Once the iSpring Narration Editor window appears, you can either record a new video narration or import an existing video file.

How to import a video file

To import an existing video file, click on the Video button in the Import tab.

Find the video file and click on the Open button.

Pro tip : You can insert multiple videos at the same time. To do that, press and hold the Ctrl key while selecting several files.

In the Import Video window, you have the choice of importing your video at the current cursor position or at the beginning of the slide of your choice.

Note: If you choose to import your video at the beginning of a certain slide, you will have the option of selecting the Adjust slide duration option. This will adjust the slide you have selected to the length of your video.

How to record a video in PowerPoint

To film yourself on a webcam, you can use the video narration feature. Click on the Record Video button on the editor’s toolbar.

The Record Video Narration panel will appear.

You can add a video narration for one or several slides at a time. To start recording video for the current slide, mark Process current slide only.

Step 2. Synchronize video with slides

Now it’s time to synchronize your video with your slides and animation effects. The latter are displayed as yellow bars on the Slides timeline. The great thing is that you’ll be able to choose the exact moment when an animation will appear while watching the video. This way, the effects will perfectly correspond to the narration in your video presentation.

Note : This is only applicable if you have animation effects attached to your slides. 

The sync process is quite simple to use. Just place the cursor where the sync should begin and click the Sync button on the toolbar.

A Sync panel will appear above the timeline. Click on the Start Sync button to start the process.

The Start Sync button will be replaced with the Next Slide or Next Animation button, depending on the next element in the sequence. Click on those buttons at the appropriate moment. Hit the Next Animation button at the point in the narration where you would like to start the next animation. For example, if you are listing information, you can have each new item appear when the narrator mentions it in the video narration.

Once you have finished, click on Done to quit the Sync mode. Then hit the Save & Close button in the upper-left corner.

Step 3. Switch layouts in Slide Properties

iSpring allows you to publish materials using one of two players: the highly customizable Universal player or the Video Lecture player. The latter displays the video presentation in a 50/50 layout and allows viewers to change the proportion between video and slides at any time.

The Universal player features three layouts for a video presentation:

  • The Full layout displays the slide, sidebar, and navigation panel.

Your presentation doesn’t have to have the same layout everywhere. You can highlight key points by changing the proportion between the on-screen information and the video for each slide. 

To do that, click on Slide Properties on the toolbar.

In the Layout column, pick the desired layout for a particular slide from the drop-down list.

The layouts for the Video Lecture player can be changed at any time during  playback. You can still preset them, and they will work as follows:

  • The Full layout displays video and the presentation in equal proportions.

The No Sidebar layout displays the full slide with a miniaturized video.

The Maximized Video layout will show the enlarged video and a smaller slide.

It is recommended that you set slides to advance automatically during the entire presentation. To do that, in Presentation Explorer , select all slides and click on the Auto button .

Step 4. Customize your player template

The built-in presentation player has flexible customization options for creating presentation templates: you can provide your viewers with the presenter’s info, a brand logo, an outline, and more. First, let’s choose which player to use. Click on Player on the product ribbon, and choose whether to use the Universal or Video Lecture player, as shown in the image below.

For this guide on making a video presentation, we’ll use the Universal player. To customize it, click on Templates . There are several player templates to choose from. We’ll use the Online Lecture with Video template as an example.

You can also experiment with the settings, doing things like turning off the outline and notes by clicking on the Layout button on the ribbon. Here’s what our player will look like:

Additionally, you can customize a presentation to match your brand colors by choosing one of the built-in color schemes or creating your own.

When you have finished customizing the player, click on Apply & Close in the upper left corner. Well done! You’ve put the finishing touches on your video presentation. 

Step 5. Publish your video presentation

When your video presentation is ready, the last step is to publish it to a web format so it can be easily accessed via a browser.

In the Publish Presentation window, select the My Computer tab from the menu at the left. Enter the presentation title and select a local folder where the presentation will be saved. Under Output Options , choose a format. We’ll be publishing to the HTML5 format to make our video presentation play seamlessly across all platforms and devices. By default, you can make your PowerPoint presentation into a video by saving it as one. This can be a solid choice if you don’t need narration for your video. But if you need to, you’ll still be able to record narrations from that menu without going back to the original PowerPoint presentation.

PowerPoint is, by far, the most popular tool people use to make presentations , whether for school projects or work-related activities, such as staff training or pitching a product idea to investors. 

PowerPoint is genuinely a great tool. Itā€™s simple and easy to use, offers hundreds of themes, and if you spend a bit of time playing around with all the different options inside the program, you can make professional presentations that will captivate your audience. 

The only issue regarding PowerPointā€”more specifically, presentations in generalā€”is the limited usability of PPT files. You canā€™t upload a presentation on YouTube , for example. You could technically share it on your website or on social media, but a presentation without a presenter is just a random compilation of images.

Unless the person who created the presentation takes the time to weave the story, explain all the concepts, and expand on the bullet points the audience sees on the slides, the presentation wonā€™t have the desired impact. 

Does that mean that presentations are only viable in a face-to-face setting? Not exactly. There are a number of different ways to utilize presentations, but they all involve converting the PPT file into a video .

Creating a Video from PowerPoint

The first thing that will go through most peopleā€™s minds is a webinar. When you stop to think about it, a webinar is nothing more than a glorified presentation. Someone takes the time to record themselves as theyā€™re going through all the different slides and explaining everything in detail. 

A webinar is a rather specific form of content, and it takes a lot of time and effort to put one together and to get enough people to watch it to make it worthwhile. Unless youā€™re an experienced salesperson who is adamant about selling a product and firmly believes that the best way to do so is to blabber about it for two hours, youā€™re probably looking for a faster, less painstaking way to turn a PowerPoint into a video.

Thankfully, there are a number of different ways to do so. In fact, PowerPoint itself gives you the option to convert the presentation into a video. In this article, weā€™ll walk you through the entire process step by step and show you how to make a video PPT using all the different versions of the program. 

How to make a video from PowerPoint?(Office 365, PowerPoint 2019, PowerPoint 2016)

Although the option is there, keep in mind that itā€™s not as simple as clicking a Convert to video button. You do need to record narration and laser point gestures (mouse movement on-screen) beforehand.

The reason for that is simple and technical in natureā€”unless you record narration and timings beforehand, PowerPoint will default to five seconds per slide when creating a video. 

You can change this by clicking the upward arrow next to the Timing under the Create a Video option, but keep in mind that youā€™ll be adjusting the time for all slides simultaneously. There is no option to adjust how long each individual slide will appear on the screen.  

If you want to use different timings per slide, as well as record narration, select the Recording option inside PowerPoint and create a video. 

Hereā€™s how youā€™ll enable recording inside Office 365 PowerPoint, as well as PowerPoint 2019 and 2016:

1. Click on File and select Options on the left-hand side of the screen 2. Choose Customize Ribbon (A) from the drop-down menu 3. Check Recording (B) in the pop-up window and hit OK (C)

Youā€™ll see a new option appear on your screen under the Recording tab, titled Record Slide Show. Clicking on the downward pointing arrow will allow you to choose whether you want to start recording the slideshow from the start or from the slide youā€™re currently on. 

You can also choose to record the narration as audio or video, and you will be able to leverage a variety of different tools, such as pens and markers, to highlight certain elements on your slides.  

As youā€™re recording, the red circle next to the Record Slide Show button will be blinking, indicating that the audio and/or video is being captured. Once you go through all the slides, you can either:

- Click on the square Stop button - Press S on your keyboard. 

Exporting your video

The easiest way to export the video you just recorded is to navigate to the Recording tab and select Export to Video . This will open up a new menu, and PowerPoint will prompt you to choose the video quality. 

One thing to keep in mind is that the Ultra HD option is available only on Windows 10 . 

Next up, youā€™ll need to either set the timings for the slides or select the Use Recorded Timings and Narration option. 

Then, click on Create a Video , name your file, and choose where you want to save it. 

Finally, select the Save as Type option and choose between two available formats:

- MPEG-4 Video - Windows Media Video

PowerPoint will start converting the slideshow into a video automatically. Depending on the video quality and length, this process might take a while, so we suggest timing it so that you donā€™t have to use the computer during that time. For larger, Full HD or Ultra HD videos, itā€™s best to keep the program running overnight.

PowerPoint 2013

One notable difference with the 2013 version of PowerPoint is that the video quality options are slightly different. Ultra HD (4K) was just entering the scene, and not a lot of people owned devices that supported the 3840 Ɨ 2160 video resolution, so itā€™s no surprise that the option doesnā€™t exist in this version. 

The interface didnā€™t change much over the years, so if you happen to be running PowerPoint 2013, youā€™ll go through the exact same process as with the newer versions of the program:

1. Navigate to File , click Export , and choose to Create a Video 2. Select the resolution 3. Set timing parameters or use recorded timings and narration 4. Click on Create Video 5. Choose Save as Type and select between MPEG-4 or Windows Media Video 

PowerPoint 2010

If you are still using the 10-year-old version of PowerPoint, the options for creating a video out of your slideshow will be a bit different. 

The first thing to keep in mind is that PowerPoint 2010 only supports .mp4 files and that the maximum resolution for the videos is 1290 x 720, which isnā€™t exactly ideal. If you want to create a professional-looking video from your PowerPoint presentation to share with business partners or your audience, you might want to consider a less restrictive alternative. 

Hereā€™s how you would turn your slideshow into a video in this outdated version of the program:

1. Select Save & Send under File 2. Choose the option Create a Video at the very bottom of the right-hand side of the screen 3. Find the Create a Video tab if you want to see the available video quality options 4. Click on the downward-pointing arrow next to the Computer & HD Displays option and choose from the three available options 5. Choose between Use and Donā€™t Use Recorded Timings and Narration depending on whether you want to use recorded timings and narration 6. Click on Create a Video , name it, choose the destination folder, and hit Save 

PowerPoint Video Drawbacks

Itā€™s always great when you can use the same tool for various different tasks. In the case of PowerPoint, you can both create the presentation within the program and convert it into a video on the spot. 

That said, PowerPoint isnā€™t a video editing tool . What we mean by this is that you are severely limited in terms of what you can do with the video you create from your PPT. There are no transitions, you canā€™t leverage fade-ins and fade-outs, and there is no music, among other things.

No matter how you look at it, the videos created through PowerPoint will be bland. PowerPointā€™s PPT to video conversion might get the job done if your only goal is to share a presentation internally with your team. Even then, it only makes sense in a remote work environment, where you canā€™t physically hold the presentation to your coworkers.

Step 3: Upload your media

Assuming you are the one who created the presentation, you should have all the necessary media on your deviceā€”photos, slides, and the script . To add it to the video, youā€™ll first need to upload it through our video editor .

All the media you upload will be available immediately to the left of your videoā€”for this and all future projectsā€”and you can drag and drop images to the center of the screen to add them to the timeline.

Step 4: Add the photos

Letā€™s start with a single sceneā€”the intro of your presentation. Drag and drop the desired image from the Uploads library onto the screen to add it to the scene.

The video editor will show you what the image will look like in the video. When you drop the photo, youā€™ll need to select one of the two options:

- Replace - Add as a layer

If the slide consists of a single image, choose Replace. Since weā€™re not using a pre-made template here, the image you chose will replace the black background.

If you would like to add additional images on top of itā€”such as graphs, screenshots, product photos, or lifestyle imagesā€”drag and drop them to the center of the screen once again, but this time select the Add as a Layer option. This will put the new image on top (in front) of the background one, making the first one act as a backdrop. 

Step 5: Edit the Scenes and add text

By default, scenes will be about five to six seconds long, which probably isnā€™t sufficient for the narration. You can edit how long each slideā€”referred to as a scene in the video editorā€”will be on the screen for on the timeline.

The image above shows the basic timeline, which is great for having an overview of all your scenes. To edit a specific scene, click on it on the timeline and select the Advanced Timeline option in the top right corner.

On the left side, youā€™ll see all the different elements that make up the scene. Select each one youā€™d like to edit, whether itā€™s a logo, the text, or the image itself. 

The middle of the timeline is reserved for the length of the scene. To adjust how long this scene will be in the video, move the sliders left or right. The duration of the scene will always be displayed in the center.

On the right side, youā€™ll be able to zoom in and out, so you can edit the timeline more easily. 

As far as text editing is concerned, you can do so either from the timeline or by selecting the text box on the screen. Youā€™ll be able to drag and drop the text box to adjust the positioning, rotate the text, change the colors and font, and more. To add multiple text boxes, select the Text option from the left-hand menu and drag and drop the new box onto the screen.

Step 6: Add narration

All thatā€™s left to do is add narration. If youā€™ve recorded the audio already, you can add it through Uploads , the same way you did with photos. If not, you can add a voice-over to each individual scene. Select the Add VO option and import an existing voice-over or choose to record it on the spot.

Step 7: Export the Video

After you record or upload the VO, add the photos, and edit the length of each scene, youā€™re good to go. You can play around with filters, effects, and transitions if youā€™d like, but the base video is complete and ready to be shared with the world! 

All thatā€™s left to do is to click on Export in the top right corner and wait for the video to render. After a few minutes, depending on the videoā€™s length, youā€™ll be able to download it, post it on YouTube and social media, or copy the shareable link and use the video in your marketing campaigns.

Before You Start, Find the Video

Finding your video first may sound like an obvious thing to do, but its location will determine how you go about embedding it in your PowerPoint presentation. You can use video from:

  • A file saved on your computer
  • An online source, such as YouTube , in which case youā€™ll need to copy its URL

Once youā€™ve found the video you want to use, follow the steps below to embed it in your PowerPoint.

How to Embed a Video From Your Computer

1. select the slide.

In your PowerPoint presentation, select the slide where you want to insert your video.

2. Click to Insert Media

For a video stored on your computer, you have two options:

  • Click on the Insert Video icon in the center of the screen (it looks like a couple of frames of film).

3. Select the Video File

Since you found the location of your video file before you started, it should be a quick job to select it in the pop-up box that appears. Then click Insert to embed the video in your slide.

How to Embed an Online Video

As before, start by choosing the slide where you want to insert your video.

With an online video, you will need to use the options in the ribbon. On the Insert tab, click on the arrow beside the Video icon and select Online Film .

3. Enter the URL

Since you found and copied the URL for your video before you started, you can now paste that into the box that appears. Then click Insert to embed the video in your slide.

Visual calculationsĀ 

A new way of doing calculations has arrived! You can now add calculations directly on your visual using visual calculations, which are DAX calculations that are defined and executed directly on a visual. A calculation can refer to any data in the visual, including columns, measures, or other visual calculations. This approach removes the complexity of the semantic model and simplifies the process of writing DAX. You can use visual calculations to complete common business calculations such as running sums or moving averages. Visual calculations make it easy to do calculations that were previously very hard or even almost impossible to do.

To use visual calculations while in preview, you need to enable it in Options and Settings Ā āž”ļøĀ  Options Ā āž”ļøĀ  Preview features . Select visual calculations and select OK . Visual calculations will be enabled after Desktop is restarted.

To add a visual calculation, you first need to select a visual. Next, select the New calculation button in the ribbon:

The new calculation button is shown on the Home tab of the ribbon in Power BI Desktop in the Calculations group.

To add a visual calculation, type the expression in the formula bar in the visual calculations edit mode that opens. For example, in a visual that contains Sales Amount and Total Product Cost by Fiscal Year , you can add a visual calculation that calculates the profit for each year by simply typing: Profit = [Sales Amount] ā€“ [Total Product Cost].

The visual matrix is updated as you add visual calculations using in the formula bar. New visual calculations are added as columns to the visual matrix.

Additionally, you can easily add a running sum of profit by writing:

You can use many existing DAX functions in visual calculations. Functions specific to visual calculations are also available, such as RUNNINGSUM , PREVIOUS and MOVINGAVERAGE . Using these and other functions, visual calculations are much easier to read, write and maintain than the current DAX required.

Dynamic subscriptions for Power BI reports

Dynamic per recipient subscriptions is now available in Preview for Power BI reports! Like dynamic subscriptions for paginated reports , you can now distribute a personalized copy of a Power BI report to each recipient of an email subscription.

Imagine you have a report that includes sales data for your entire team. You want to schedule an email subscription that sends out a PDF copy of this report to each salesperson on a weekly basis, with the report filtered to only show their sales results.

This can now be done by connecting to a semantic model (previously Power BI dataset) that defines the mapping between recipients and respective filter values. When itā€™s time to send out the report, the latest data available in your semantic model will determine which employees should receive a report in their inbox, and with what filter values applied.

This February release we added multi-visual container format support ! Previously, when multi-selecting across different visual types, the format pane did not support any options for formatting the visuals. Now, when multi-selecting different visuals, weā€™ve added formatting support for container formatting such as changing the size, background color, adding a shadow or turning on/off titles in bulk.

Weā€™ve also added the ability to format a visualā€™s container size and position even if itā€™s empty:

This month we also bring you a handful of quality improvements to the on-object experience:

  • Bug fix : when working with a non-visual (text box, button, image, shape) the build pane accidentally closing automatically. The build pane now stays open unless explicitly closed regardless of selected item type.
  • Bug fix : style bug where the build pane was showing 5 icons across instead of the usual 6 has been fixed.
  • Bug fix : in some cases, the data flyout was extending beyond the window size making the search box hard to use, this has now been fixed.
  • Enhancement : When choosing a field using the data flyout ā€“ you can now click anywhere on the name, not just the checkbox next to it to select the field.

5.Enhancement : If replacing a field in a visual that does not use an aggregation or date hierarchy (other dropdowns are disabled), we auto open the data dropdown to save an extra click.

When you add the Power BI add-in to a presentation, you can pick a report suggested to you or paste a link to a specific report.

When you paste a standard report link (the URL copied from the browser address bar), and if sharable links are enabled for your organization and allowed for this report, you have re-share permissions to this report, Power BI add-in can replace the link you pasted with shareable link. In that case you will see a checkbox added below the report URL that offers you automatic access to this report. Just mark this checkbox and Power BI add-in will create a shareable link for you.

Using a sharable link ensures that other users viewing the presentation have the required permission to see the report, and do not need to request access when viewing the presentation.

Maximum connections per data source ā€Æis a setting to configure the maximum number of connections DirectQuery opens for each underlying data source. This controls the maximum number of queries that can be executed concurrently against each data source and is configurable per semantic model.

We recently updated the upper limit of the number of concurrent Direct Query connections allowed per semantic model. The updated limits for each SKU are listed in the table below.

Our February release introduces the support of the new on-object interaction. This enhancement allows users to build and customize visuals directly on the visual in Power BI Desktop. It puts common actions for creating and formatting visuals on the visuals themselves, actions such as adding fields, changing visualization types, and formatting text.

The primary objective of Power BI Desktop developer mode is to provide friendly source control and co-development experience. With this objective in mind, you can now save your Power BI Project files (PBIP) usingā€Æ Tabular Model Definition Language (TMDL) ā€Æformat. TMDL has been designed from the ground up to be human-friendly, facilitating not only readability but also easy editing in any text editor. This represents a substantial enhancement for source control and collaborative development experiences, particularly when dealing with complex file diffs. Ā 

Saving as a PBIP using TMDL is currently in preview. Before giving it a try, you must first enable this feature in Preview features: go toā€Æ File ā€Æ>ā€Æ Options and settings ā€Æ>ā€Æ Options ā€Æ>ā€Æ Preview features ā€Æand check the box next to ā€œStore semantic model using TMDL formatā€. Ā

By default, Fabric Git Integration will still use Tabular Model Scripting Language (TMSL) to export the semantic model during the Public Preview. However, if the semantic model is imported into Fabric using TMDL, then Fabric Git Integration will export the definition into Git using TMDL in the event of any semantic model changes in the service.   • When you double click a line chart, it will zoom in to screen size of visual and you can then compare it with any other line chart in that column.
  • You can use different colors for each line chart in a field/column.
  • You can insert ratings with bands.
  • You can add beeswarm / distribution microchart.

Protecting your data with Microsoft Purview

Compliance admins in your organization can use Microsoft Purview Information ProtectionĀ  sensitivity labels Ā to manage their orgā€™s sensitive data across different apps and services and meet regulatory and compliance requirements.

They define file protection policies for the sensitivity labels, which result in files being encrypted when such labels are applied, allowing only authorized users to open and edit these files in Office apps and Power BI Desktop.

Sensitivity labels are widely adopted by enterprises today and used to label and protect content inĀ  Microsoft 365 Ā apps such as Excel, PowerPoint, Word, and Outlook, and now in Power BI and Fabric as well.

All you have to do is enable Information Protection in Microsoft Fabricā€™s Admin Portal and let the labels do the rest.

How Power BI Desktop enforces sensitivity label protection

In Power BI Desktop , we enforce label protection on PBIX files. To open a PBIX file, you either must be the label issuer or have one of the following usage rights .

These usage rights are elevated permissions, as they grant permission to change the sensitivity label. Because Power BI and Office apps use the same label policies, compliance admins may prefer not to grant these usage rights for Highly confidential labels. This might block you from collaborating with your colleagues when youā€™re sharing or downloading Power BI reports and trying to open them in the desktop app.

Collaborating and keeping label protection on PBIX files

By enabling ā€œ Increase the number of users who can edit and republish encrypted PBIX files (preview) ā€ in your tenant, users that have been assigned with all of the following usage rights should be able to open, edit, and republish the protected PBIX file to the Power BI service:

  • View Content (VIEW)
  • Edit Content (DOCEDIT)
  • Save (EDIT)
  • Copy and extract content (EXTRACT)
  • Allow Macros (OBJMODEL)

Thus, users who were once restricted can now collaborate with protected files, while keeping protection consistent with the organizational policy.

Note: These usage rights are a sub-set of the ā€œCo-Authorā€ permissions preset in Microsoft Purview compliance center.

What are the restrictions and why?

In order to align with compliance requirements, users with these usage rights are lightly restricted while editing a protected PBIX file.

No exporting to unsupported formats ā€“The user wonā€™t be able to export to formats that donā€™t support sensitivity labels, such as CSV files.

Why restrict republishing into the original workspace only?

To remain compliant, we must keep users from gaining more permissions, including Power BI permissions (i.e., Read, Write, Reshare and Build). Meaning that a user who wishes to publish should not be able to publish to a workspace that might grant them additional permissions through Workspace roles.

Additionally, this feature is meant for collaborating and sharing items that are more restricted than usual, and confidential data is usually managed in a dedicated workspace. This restriction will prevent users from publishing confidential data across the tenant.

Side note: The file must be published at least once for other users to be able to republish it to that specific workspace. If the file has not yet been published, then the latest label issuer (the one who set the protected label) or a user with sufficient usage rights must publish it and then share the file with the other editors.

How to enable it

Prerequisite: The compliance admin must assign you and your colleagues the proper permissions for that sensitivity label.

Next, Fabric/Power BI admins must enable the feature in Admin Portal > Information protection > Increase the numberĀ of users who can edit and republish encrypted PBIX files (preview).

In Power BI Desktop, users who would like to open and edit protected PBIX files must enable the feature by opening File > Options and settings > Options > Preview feature > Less elevated user support.

Final words

With this new feature, users can now collaborate more easily with other users when working on confidential data in Power BI Desktop, without any loss of protection along the way.
